Pay Check Keeps Competitive with Epay

Pay Check Ltd provide specialist managed payroll and pension services for businesses. As of March 2016, Pay Check processed 1,886 payrolls, including a total of 48,972 payslips.

The challenge

Pay Check have worked with Datagraphic  for many years, buying payroll stationery and offering Epay to their clients. But one document type they hadn’t explored was online P45s.

Pay Check used to print HMRC P45s and distribute them by post. Due to unpredictable volumes, this process could be very time consuming and hard to manage. When large volumes of P45s were needed, existing internal resources had to be stretched, causing pressures and strains.

By printing the P45s, Pay Check also found they weren’t able to provide a complete online service to their clients, for example payslips and P60s could be delivered online but P45s were still delivered by post. Pay Check wanted to eliminate all aspects of print for their online clients.

Last year, HMRC confirmed that legal advice had changed. The long held view, that only hard copies of P45s were acceptable, changed to allow them to be issued electronically. This news enabled Pay Check to move away from an inefficient procedure.

Datagraphic’s Epay application met the challenge.

The online service has created an added service revenue source
and has allowed us to remain competitive with other service
providers also offering online services.
