Vale of Glamorgan Council deliver the best online payslip experience across multiple devices via Epay

The Vale of Glamorgan Council serves one of Wales’ most diverse local authority areas. The Council employs almost 5,000 staff across many locations.

Before automating the production and distribution of payslips, the payroll team at Vale of Glamorgan Council provided a mix of online and paper payslips to employees. However, this was still a very manual and resource-intensive task because 75% of payslips were printed and distributed across various sites.

The team needed a more efficient way of delivering online payslips to all employees whilst removing the internal resource of printing and distributing payslips. They needed the solution to be secure and easy to use for both system users and employees.

The Solution

Vale of Glamorgan Council chose Datagraphic’s Epay solution to automate the production and distribution of online payslips and other payroll documents.

Presenting payslips and P60s in one secure place, Epay provided a way for the Council to quickly and easily deliver pay documents to all their staff across all work locations.

Designed to give the best experience across multiple devices, Council employees can now easily access and interact with their pay information, important messages and company documents all from their mobiles.

Choosing a solution that held the strictest data security standards was very important to the Council. Epay is hosted securely in the UK and undergoes regular cybercrime software testing. Employees also have the option to sign in using a two-step login and multi-factor authentication.

Key Benefits

The payroll team at Vale of Glamorgan Council have noticed several benefits since using Epay:

  • 100% digital payslips. The Council no longer print and distribute payslips and P60s. With the time-saved, the team has focused on higher-value tasks.
  • Quick and easy access for employees. They can view their pay documents via any internet-connected device, including mobile, tablets and laptops.
  • Payslips uploaded 4-5 days before payday, so the team can proactively deal with any queries.
  • Improved communication with employees. Using the portal as a communication hub to share company messages and documents.
  • Increased engagement by pushing employees to useful and important internal staff pages on the Council website.

“The customer service from Datagraphic was excellent.

The support before, during and after go-live was a key factor in choosing Epay as our solution for online payslips.”
